These General Terms and Conditions apply to all bookings made with ‘Søre expeditions’ a company established in Belgium, for organised expeditions and package travel.

By making a booking, the traveller confirms that they have read and accepted these General Terms and Conditions.

Hereafter referred to as “the Organiser”, “we”, “us” or “our”.

The person making a booking is referred to as “the Traveller”, “you” or “your”.

2. Scope of these terms

These General Terms and Conditions apply to all offers, bookings and agreements relating to our organised expeditions and package travel.

Where applicable, Belgian and European legislation governing package travel and linked travel arrangements applies in addition to these terms.

In the event of a conflict between these General Terms and Conditions and mandatory provisions of applicable law, the mandatory legal provisions shall prevail.

3. Our expeditions

We organise guided and/or accompanied expeditions, including expeditions in Albania and other destinations.

Each expedition may include a combination of accommodation, transport, activities, guiding, meals and other travel services. The exact services included in each expedition are specified in the relevant expedition description and booking information.

The itinerary, accommodation, transport arrangements and activities may occasionally need to be changed for operational, weather, safety or other legitimate reasons.

Where a change constitutes a significant alteration of the package, the Traveller will be informed of their rights in accordance with applicable package travel legislation.

4. Minimum number of participants

Each expedition requires a minimum number of 5 participants for guaranteed departure.

If fewer than 5 participants have booked the expedition by the applicable deadline, we reserve the right to cancel the expedition in accordance with the applicable package travel legislation.

Where an expedition is cancelled because the minimum number of participants has not been reached, the Traveller will be informed within the legally applicable timeframe and will receive the rights and refunds provided by law.

We will not charge a cancellation fee in such circumstances.

5. Booking and conclusion of the agreement

A booking request does not automatically constitute a confirmed booking.

A booking becomes confirmed once:

  1. the Traveller has completed the required booking procedure;

  2. the Traveller has accepted these General Terms and Conditions; and

  3. the required payment has been received or another payment arrangement has been expressly agreed with us.

The Traveller will receive a booking confirmation containing the relevant information about the expedition.

The person making the booking is responsible for ensuring that all information provided during the booking process is correct.

6. Prices

All prices displayed on our website are stated in euros (€).

Unless expressly stated otherwise, the advertised price is the total price payable by the Traveller for the services included in the package, including applicable VAT, taxes and mandatory charges.

The expedition price includes only the services expressly identified as included in the relevant expedition description.

Unless otherwise stated, the price does not include personal expenses, optional activities, travel insurance, visas, vaccinations, personal equipment or other services not expressly included in the package.

We reserve the right to correct obvious pricing, typographical or technical errors.

7. Payment

The applicable payment schedule will be communicated during the booking process or in the booking confirmation.

Payment may be made using the payment methods available on our website.

If payment is not received by the applicable deadline, we may send a reminder and, where legally permitted, cancel the booking in accordance with the applicable terms and legislation.

Any applicable cancellation or administrative costs will be communicated transparently to the Traveller.

8. Cancellation by the Traveller

The Traveller may cancel the package before the start of the expedition, subject to the cancellation conditions applicable to the specific expedition and the rights granted by mandatory package travel legislation.

Cancellation fees may apply depending on the date of cancellation and the costs already incurred by the Organiser.

The applicable cancellation conditions will be communicated to the Traveller before or during the booking process.

Right of withdrawal

The Traveller acknowledges that the statutory 14-day right of withdrawal applicable to certain distance contracts does not generally apply to contracts relating to accommodation, transport, car rental, catering or leisure services where the contract provides for a specific date or period of performance.

If we voluntarily offer a 14-day cancellation period for a particular expedition, this will be explicitly stated in the booking conditions for that expedition.

Nothing in these terms limits any mandatory cancellation rights provided to consumers under applicable Belgian or European law.

9. Cancellation by the Organiser

We may cancel an expedition in circumstances permitted by applicable law, including where the minimum number of participants has not been reached or where extraordinary and unavoidable circumstances prevent the expedition from being carried out.

If we cancel a package in circumstances where the Traveller is legally entitled to a refund, the Traveller will receive the applicable refund without undue delay and within the legally prescribed period.

The Traveller will also receive any other rights provided by applicable package travel legislation.

10. Changes to the expedition

We aim to operate each expedition substantially as described at the time of booking.

However, changes may occasionally be necessary due to weather, safety considerations, local conditions, availability, transport disruption, accommodation issues or other circumstances.

Where we make a significant change to an essential element of the package, the Traveller will be informed of the available options and rights in accordance with applicable law.

We will make reasonable efforts to minimise the impact of any necessary changes on the Traveller.

11. Pre-expedition briefing

Before each expedition, we organise a pre-expedition briefing for all participants.

The purpose of this meeting is to prepare participants for the expedition and provide important information concerning, among other things:

  • the itinerary and schedule;

  • accommodation;

  • transportation;

  • equipment;

  • physical requirements;

  • safety procedures;

  • weather and local conditions;

  • meeting points;

  • emergency procedures;

  • practical arrangements;

  • expectations concerning group behaviour; and

  • other relevant information concerning the expedition.

Attendance is strongly recommended and may be required where the information provided is essential for the safe execution of the expedition.

Participants who are unable to attend the briefing physically will receive a digital link allowing them to attend the briefing remotely.

The Traveller remains responsible for reviewing the information provided during the briefing and for following the applicable instructions.

12. Physical requirements and activities

Our expeditions may involve physically demanding activities, including hiking, trekking, climbing, outdoor activities and travel in mountainous or remote environments.

The Traveller is responsible for assessing whether they are physically and practically capable of participating in the expedition.

The expedition description will provide information about the expected level of physical difficulty where relevant.

The Traveller must inform us in advance of any relevant limitations that may affect their safe participation in the expedition.

For safety reasons, the Organiser, guide or expedition leader may modify or stop an activity where circumstances make this necessary.

Such decisions may be made based on weather, terrain, physical condition, safety considerations or other circumstances.

13. Travel documents and entry requirements

The Traveller is responsible for ensuring that they possess all documents required for the journey, including:

  • a valid identity document or passport;

  • visas or other entry permits where required;

  • any required health or vaccination documentation; and

  • any other documents required by the destination country or transit countries.

The Organiser will provide relevant general information where appropriate, but the Traveller remains responsible for ensuring that their personal travel documents are valid and sufficient for their individual circumstances.

14. Travel insurance

Travel insurance is not included unless explicitly stated in the expedition description.

We strongly recommend that every Traveller obtains appropriate travel insurance, including adequate medical, repatriation and cancellation coverage.

Travellers participating in physically demanding or adventure activities should ensure that their insurance specifically covers those activities.

The Traveller is responsible for checking the scope and exclusions of their insurance policy.

15. Health and medical considerations

The Traveller is responsible for ensuring that they are fit to participate in the expedition.

Where an activity or destination involves particular physical demands, altitude, remote areas or other specific conditions, the Traveller should obtain appropriate professional advice where necessary.

The Traveller should inform the Organiser of any relevant information that may be necessary to ensure their safe participation.

Any personal medical information provided to us will be handled in accordance with applicable data protection legislation.

In our team we will always work with at least one registered nurse. This makes it possible for the team to have a direct possibility to check if medical assistance is urgent. One some expeditions we will also bring a doctor. This will be communicated on the pre-expedition briefing.

16. Traveller responsibilities

During the expedition, Travellers must:

  • follow reasonable instructions from the Organiser, guides and local partners;

  • comply with applicable laws and regulations;

  • respect other participants, local communities and the environment;

  • behave in a responsible and respectful manner; and

  • follow applicable safety instructions.

The Organiser may take reasonable measures where a Traveller's behaviour seriously affects the safety, health, rights or enjoyment of other participants.

17. Complaints during the expedition

If the Traveller experiences a problem or finds that a service included in the package is not being performed in accordance with the agreement, they must notify the Organiser or the designated local representative without undue delay.

This allows us to investigate the issue and, where possible, provide an appropriate solution during the expedition.

Failure to report a problem promptly may affect our ability to remedy the situation, where permitted by applicable law.

We will handle complaints within a reasonable period and in accordance with applicable law.

18. Liability

We are responsible for the proper performance of the travel services included in the package, in accordance with applicable package travel legislation.

Where a travel service is not performed in accordance with the agreement, we will take appropriate steps to remedy the situation where required by law.

The Organiser's liability may be limited where the applicable package travel legislation permits such limitation.

Nothing in these General Terms and Conditions excludes or limits liability where such exclusion or limitation is prohibited by mandatory law.

19. Extraordinary and unavoidable circumstances

The Organiser shall not be liable for consequences resulting from extraordinary and unavoidable circumstances that could not reasonably have been avoided or overcome.

Examples may include, depending on the circumstances:

  • natural disasters;

  • extreme weather;

  • war or serious security threats;

  • terrorism;

  • epidemics or public health emergencies;

  • government measures;

  • major transport disruption;

  • strikes; or

  • other circumstances beyond the reasonable control of the Organiser.

The rights of the Traveller in such circumstances shall be determined in accordance with applicable package travel legislation.

20. Accommodation and local services

Accommodation and other local services may differ in style, facilities and standards from those familiar to Travellers in their home country.

Where applicable, the accommodation category or description will be communicated before booking.

The Organiser may make reasonable substitutions where necessary, provided that the Traveller's statutory rights are respected.

In case of sickness or if the participant is not longer able to continue the expedition there is a possibility to get local transport to our basecamp. These costs are at charge of the participants.

21. Intellectual property

All content published on this website, including text, photographs, videos, graphics, logos, designs, maps and other materials, is owned by or licensed to the Organiser unless otherwise stated.

This content is protected by applicable copyright and intellectual property laws.

The content may not be copied, reproduced, distributed, modified or commercially exploited without our prior written permission.

The purchase of an expedition does not transfer any intellectual property rights to the Traveller.

22. User comments and content

Where our website allows users to submit comments, reviews, photographs or other content, the user remains responsible for the content they submit.

Users must not submit content that:

  • infringes the copyright, trademark, privacy or other rights of another person;

  • is unlawful, threatening, defamatory or abusive;

  • contains malicious software;

  • constitutes spam or unauthorised advertising; or

  • violates applicable law.

We reserve the right to remove content that violates these terms or applicable law.

By submitting content to a public area of the website, the user confirms that they have the necessary rights and permissions to submit that content.

23. Protected website content

Users may not share, reproduce or distribute direct links to protected or restricted website assets, including images, videos, documents or other content intended only for registered users or participants.

Protected content may only be accessed and used for the purpose for which access has been granted.

24. Reporting copyright infringement

If you believe that content published on our website infringes your copyright or other intellectual property rights, please contact us at:

26. Website use

We may temporarily suspend or restrict access to parts of the website where necessary for maintenance, security or other legitimate reasons.

27. Payment providers and third parties

Payments may be processed through third-party payment providers.

The availability of particular payment methods may vary depending on the booking and the payment provider.

Third-party services used as part of the expedition, such as airlines, accommodation providers, transport companies, guides and activity providers, may have their own terms and conditions.

Where relevant, these terms do not replace the statutory responsibilities of the Organiser under applicable package travel legislation.

28. Financial protection

As a package travel organiser established in Belgium, we comply with the applicable legal requirements concerning insolvency protection for package travellers.

29. Information provided before booking

Before entering into a package travel agreement, the Traveller will receive the information required by applicable package travel legislation.

This includes, where applicable, information concerning:

  • the main characteristics of the travel services;

  • the identity and contact details of the Organiser;

  • the total price and applicable taxes and fees;

  • payment arrangements;

  • minimum participation requirements;

  • passport and visa requirements;

  • cancellation rights and applicable cancellation charges;

  • insurance recommendations;

  • accessibility information where relevant; and

  • the statutory rights applicable to package travellers.

The information provided during the booking process forms part of the agreement where required by law.

30. Transfer of a booking

Where permitted by applicable law, the Traveller may transfer the package travel agreement to another person who satisfies all the conditions applicable to participation in the expedition.

Any reasonable costs associated with the transfer may be charged to the Traveller, subject to applicable law.

The original Traveller and the replacement Traveller may remain jointly responsible for the payment of any outstanding balance and reasonable transfer costs where permitted by law.

31. Applicable law

These General Terms and Conditions are governed by Belgian law, without prejudice to any mandatory consumer protection provisions that may apply under European or other applicable law.

Nothing in these terms affects the mandatory rights granted to consumers under applicable Belgian or European legislation.

32. Dispute resolution

We encourage Travellers to contact us first so that we can attempt to resolve any complaint or dispute amicably.

Where applicable, the Traveller may make use of available alternative dispute resolution mechanisms or consumer dispute resolution procedures.

Nothing in this section prevents the Traveller from exercising any statutory rights or bringing proceedings before a competent court.

33. Changes to these General Terms and Conditions

We may update these General Terms and Conditions from time to time.

The version applicable to a booking is generally the version in force when the agreement was concluded, unless a change is required by law or otherwise legally applicable.

The date of the most recent update will always be displayed at the top of this page.

Important information for package travellers

Where your booking constitutes a package travel arrangement, you benefit from the rights granted to package travellers under applicable Belgian and European legislation.

These rights include, among other things, protection in the event of insolvency of the organiser, rights concerning significant changes to the package, assistance in certain circumstances and remedies where travel services are not performed as agreed.
